			<content:encoded><![CDATA[<p>With our first named storm bearing down this season (Hurricane Irene) and a recent earthquake in the Washington, DC area it&#8217;s the yearly wake-up call for small businesses to start thinking about business continuity and disaster preparedness. I prefer to talk about it from this perspective, &#8216;continuity&#8217; and &#8216;preparedness&#8217;,  rather than &#8220;disaster recovery&#8221;. With a smart, flexible business structure in place, hopefully you won&#8217;t need much recovery.  Instead, you are fluid and can simply roll with whatever comes along.  If  you work in The Anywhere Office &#8211; you&#8217;re mobile and  can communicate and collaborate across time and distance. You can work where and when you need to &#8211; just like you do every day.</p>

			<content:encoded><![CDATA[<p><em>This is only the second guest post we have had here on The Anywhere Office. I was delighted when Ripley Daniels approached me about writing this for the blog. As someone who has been working virtual for years and now works with a company that is completely remote she has some great lessons learned to share about making the shift to virtual work.</em></p>
<p><em>I was just talking with someone the other day about when I first started working primarily from my home office.  The adjustment period took at least 6 months for me to find my workflow and adjust to my space (or adjust my space to my work).  Ripley shares some essential strategies here to help make the transition easier. </em></p>

<p>Being a telecommuter may seem like a dream come true but there are often many aspects of working from home that can cause tension, stress and even depression. For most people, transitioning from an office environment to a home office is both daunting and difficult. The office environment facilitates a social setting where you interact with your co-workers throughout the day. Working from home immediately limits your opportunity to socialize and at times can create a sense of isolation that can be hard to adjust to. Another possible change you will undergo is balancing your work and home life. This can be extremely challenging as working from home blurs the lines.</p>
<p>In order to get the most out of your telecommuting experience, it&#8217;s important to have a strategy. Here are some simple steps to help relieve the pressure and tension that working at home might create:</p>
<ol>
<li><strong>Create a specific work space.</strong> There is nothing more distracting than trying to work in front of the television or in a common area where the children might be playing or your spouse might be on the phone. If possible, turn a guest room into a home office where you can set up a desk, computer and other office supplies as well as where you can hold conference calls and teleconference calls without any distractions or disruptions. If you do not have an additional room or space, designate a <span id="more-1681"></span>space at your kitchen or dining room table so that you will not be tempted to work in front of your television set. Also, make sure to keep your space tidy and neat so that you can find any paperwork, projects or reports when needed. You don&#8217;t want to mix your work papers and information with bills, school projects and other personal items.</li>
<li><strong>Figure out a work schedule.</strong> One of the biggest hassles when it comes to telecommuting is maintaining diligence and discipline. Although you are not tied to a clock like you might have been in an office environment, you are still responsible for getting your work done in a timely manner and being available for meetings or conference calls. You don&#8217;t want to ever appear unprofessional so pick a normal work schedule i.e. 8-5pm or 9-6pm so that you can get as much work done during the day time which will free up the evenings to spend time with friends and family as well as personal time to decompress and relax.</li>
<li><strong>Leave work at work.</strong> In the past, this was an easy thing to do since work was at an office and you left it behind the second you headed home. Now that you work from home, this can be an easy mistake that can cost you and your family happiness and a sense of normalcy. As soon as your work day is over, get up from your desk or work space, shut off the computer, turn off the work phone and leave it all behind until the next work day. Be sure to spend time doing the things you love such as; working out, gardening, cooking, going to the movies, meeting friends for drinks or just watching television with your family. You will be more productive and be able to maintain a sense of organization when you implement this simple step.</li>
<li><strong>Take scheduled breaks throughout the day.</strong> When working in an office environment, there are several scheduled and unscheduled breaks that one takes which helps break the monotony and gives you a quick breather. Working from home may seem like one long break as there are no co-workers or supervisors visiting your desk or demanding anything of you but you will still need to push away from your desk and give yourself a minute to clear your mind. Step outside and get some fresh air, go run an errand or just make a quick leisure call to a friend. These types of breaks really help round out your work day so that you don&#8217;t wind up feeling like you&#8217;re chained to your desk from morning till night.</li>
<li><strong>Avoid working on the weekends.</strong> Working from home allows you a lot of freedom but it can also seem like a prison sentence since you are not getting out and about like you used to. That&#8217;s where the weekends come in. You need to utilize your weekends to the fullest by getting out and joining groups that interest you. Find organizations that cater to the types of activities you love. Schedule time with friends and family so that you are spending all of your weekends having fun rather than slaving away at your computer. Even though working from home allows you the opportunity to work seven days a week, is it really a healthy option? No. That&#8217;s why you need to treat your weekends the exact same way you did when you worked in an office setting.</li>
</ol>

Shortly afterward I started working with Karl to help him refine his business model and choose the best strategies and tools that would allow him the flexibility to work from anywhere, keep his costs low, and work with clients from all over the world without the expenses and headaches of all that travel.</p>
<p>One of the things we discussed was how to use Skype for video conferencing and remote interviews as Karl wanted to include a series of these interviews with noted authorities on his blog. So after getting the technology in place he figured what better way to kick them off than by interviewing me about the strategies and technology that help entrepreneurs, small businesses, and solo professionals to work virtually.</p>

			<content:encoded><![CDATA[<p>In my blog post yesterday I showed you <a title="How to sync your iPhone, iPad, or iPod Touch with Gmail, Google Calendar, and Contacts" href="http://www.theanywhereoffice.com/digital-lifestyle/sync-iphone-ipad-ipodtouch-with-gmail-google-calendar-contacts.htm">how to configure Google Sync to keep your Gmail, Google Calendar, and Contacts in sync with your iPhone, iPad, or iPod Touch</a>.  Those steps work great if you use your Gmail address as your primary email address but they won&#8217;t let you send mail from your own domain.</p>
<p>I have several different email addresses with different domains names all forwarding mail to Gmail and thanks to it&#8217;s flexibility I was able to configure Gmail so that I can send or reply from any of them (with one being the default address for new messages).  For example even though I use Gmail as my email program I rarely use my Gmail address &#8211; instead my FROM address is phil@theanywhereoffice.com.</p>
<p>Although Gmail handles this perfectly I was disappointed when first configured my iPod Touch a few years back using Google Sync that it ignored these settings and always sent mail from my Gmail address.  This was unacceptable to me as I wanted emails I sent to come from my business address and didn&#8217;t want to confuse my clients, customers, and colleagues.  I hunted and searched and tested and finally found out how to get this to work. You can still use the steps I shared in yesterday&#8217;s post/video to sync your Google Calendars and contacts with your iPhone but you need to turn off the mail option there and follow some special (and somewhat convoluted) steps to get the mail to sync with Gmail AND send from your own domain.</p>
<p>No worries &#8211; I&#8217;m here to help.  I recorded 2 videos for you below walking you step-by-step through the entire process. The first step would be to have mail from your other domain forward to your Gmail account. I assume you&#8217;re probably already doing this but if not you&#8217;ll need to go into your current email settings for your domain and set it to forward your mail to your Gmail account. The steps for this will vary depending on how you currently get your email &#8211; most likely these settings can be controlled in the control panel of your web or email host.</p>
<p>The next step is to configure Gmail to send mail from your own domain rather than using your Gmail address.  Watch this video to learn how to do this:</p>

<p>The final step is the tricky part &#8211; how to get your iPhone, iPad, or iPod Touch to sync with Gmail and use your own domain.  <em><strong>Make sure to follow all the steps in the next video</strong></em> &#8211; there are a few gotcha&#8217;s <em>(like one part where you have to set it up with your Gmail address, back out, then go back in and <span id="more-1523"></span>change it)</em>.  It sounds silly &#8211; but you have to do this to make it work. If you follow all these steps in my video you will reach nirvanna and have your Gmail perfectly in sync on your iPhone and be able to send and reply to messages using your own domain. Thing of beauty!!</p>

<p>(NOTE: I know you can use <a title="Google Apps" href="http://www.google.com/apps/">Google Apps</a> to have all mail for your domain integrated with Gmail but for many small business and solo professionals you may prefer to not go through the steps of setting that up and simply use your regular Gmail account.  I actually used Google Apps and switched back to using my regular Gmail account.  I found it made it easier to use all the other Gmail services and often times new features were released to regular Gmail accounts long before Google Apps got them.  Not to mention the iGoogle pages for regular Gmail are MUCH better than those for Google Apps.  There are a lot more widgets available and if you use iGoogle as your startup page or a digital dashboard that definitely makes a difference!)</p>
<h2>UPDATED (7/28/11) &#8211; HOW TO USE MULTIPLE FROM ADDRESSES:</h2>
<p>Big thanks to Rafael who posted a comment below on how to configure your iPhone to support multiple FROM addresses (so if you have multiple email addresses you use you can have a choice which to use when sending).  Here is what you need to do to set that up:</p>
<ol>
<li>Goto imap account information</li>
<li>At the address box type all your outgoing emails with a comma separator for example Aaa@domain.com,bbb@domain.com,you@gmail.com</li>
</ol>
<p>This will add a from option when you create new email on the iPhone.</p>

			<content:encoded><![CDATA[<p>If you have an iPhone, iPad or iPod Touch and you use Google&#8217;s services (Gmail, Calendar, and Contacts) the video below will walk you step-by-step through the best way to sync all your data seamlessly with your Apple Device. Although these devices have a built in Gmail option it has some major limitations &#8211; specifically it doesn&#8217;t offer the ability to sync contacts over the air and limits you to one primary calendar.</p>
<p>I have tried several different ways and found  Google Sync (which acts like a Microsoft Exchange connector) works great.  I used it for years on my iPod Touch and now that I&#8217;m the proud owner of a new Verizon iPhone 4 (I am stoked) I used this same method to keep my iPhone and Google services perfectly in sync. One of the great features is that it lets you sync multiple Google Calendars (up to 25). That means when you create a new appointment in the calendar on your iPhone you can add it to any of the Google calendars you have access to (your own or any shared calendars).</p>

<p>Note that Google Sync is only supported on iOS versions 3.0 and above. You can check your current version by going to <strong>Settings</strong> &gt; <strong>General</strong> &gt; <strong>About</strong> &gt; <strong>Version</strong>. If your business, school, or organization uses <em><strong>Google Apps</strong></em>, your administrator will first need to <a href="http://www.google.com/support/a/bin/answer.py?answer=135937">enable Google Sync</a> before you can take advantage of this feature.</p>
<p>If you prefer written instructions Google provides them <a title="Instructions for configuring Google Sync for your iPhone, iPad, or iPod Touch" href="http://www.google.com/support/mobile/bin/answer.py?hl=en&amp;answer=138740">here</a> but I figured it would be easier to follow along as you watch the steps in this video.</p>

<p>In this initial broadcast I chatted with some folks about mobile work technology &#8211; we discussed online musical collaboration, co-working and coffee shops, why it makes sense to create your website in WordPress, CRM software, Windows vs Mac, Skype and Tokbox, multi-person video chats, the Blue Yeti microphone, Twitter Apps, and <em>I even jammed a little harmonica!<span id="more-1415"></span></em>I&#8217;m thinking of doing these either weekly (or bi-weekly) to make myself available to answer any burning questions you may have about mobile work technology, cloud computing, setting up an effective home office, using social media, automating common business processes, internet marketing, and anything else about working from anywhere or growing your business online.</p>

			<content:encoded><![CDATA[<p>I&#8217;m really loving the growth of social media &#8211; especially the way it can serve as a watercooler and networking environment for those that work in The Anywhere Office.  One of the downsides of being virtual is losing the connections and social element of working in an office.</p>
<p>I have found Twitter to be a great way to connect with people and in many ways it&#8217;s even more powerful than the traditional water cooler as I have connected with people from all over the globe!</p>
<p>Being a work at home dad, entrepreneur, and small business owner it&#8217;s hard to find the time in my schedule to get out to networking events. This is another area where social media has really been amazing &#8211; I&#8217;m able to take a more asynchronous approach to finding and starting conversations with other liked minded people I meet.  I think the key, however, is to then take those conversations to the next step and schedule a real-time phone call, Skype chat, or in person meeting when possible.</p>
<p>Still haven&#8217;t taken the social media plunge?  I came across a recent article that helps you get up to speed on the big three:</p>

			<content:encoded><![CDATA[<p>Although many people feel remote collaboration is all about technology &#8211; the truth is virtual team work is a <em>human endeavor</em> &#8211; it&#8217;s about people working with people. Sure the tech is important as it enables people to work together while apart &#8211; but the <em>strategy </em>behind which tools you choose and how you use them is easily just as critical.</p>
<p>As Jason and I often say it&#8217;s about <em>&#8220;the right tools thoughtfully applied&#8221;</em>. Yesterday I came across a great blog post by Isaac Gube (<span style="font-family: Verdana, Arial, Helvetica, sans-serif; line-height: 20px; font-size: 12px; color: #333333;"><a href="http://twitter.com/IAMTHEGUBE">@IAMTHEGUBE</a></span>) about the tools and strategies he and his brother put into place when they launched their latest venture <a href="http://www.DesignInstruct.com">DesignInstruct.com</a> &#8211; a regularly updated web magazine for designers and digital artists where you can find and learn design tips and tricks. The Brothers Gube clearly share the same philosophy as the Brothers Montero:</p>
<blockquote><p>Design Instruct is our first real venture together. It is the first time my brother and I sought to actually build something of our own (unless of course you count all the make-believe forts we built when we were kids).</p>
<p>There are many challenges associated with working with someone over a long distance. However, we found that there are solutions to those challenges, and so far, we’ve managed to make it work.</p>

<p>I love the way the post breaks down the 5 main challenges they had and describes the solutions they came up with.  When technology was needed they used free or low cost tools that can be embraced by any small business owner, solo professional, or entrepreneur.<span id="more-1332"></span></p>
<p>The important thing is they did their own <a title="ICC Workflow Analysis Video" href="http://www.theanywhereoffice.com/podcast/choosing-the-right-technology-for-your-virtual-team-or-virtual-office.htm">workflow analysis</a>, tooks a step back, and developed a structure and approach that worked for them. The spirit and philosophy they brought to this approach echoes my own:</p>
<blockquote><p>Working on the Internet over a long distance is definitely different than working together in the same physical location. But being different doesn’t mean that it’s a worse way to work.</p>
<p>Of course, it’s a different way to work, but it’s also a very effective way to work once you acknowledge the challenges and are willing to adapt.</p>
<p>Just think, a few years ago, working from such great distances would have been quite an ordeal, and today it is done with such great ease and effectiveness.</p></blockquote>

			<content:encoded><![CDATA[<p>I have to admit that these days I don’t travel that often.  Having a 3 year old son makes me want to stay home a lot more than I used to – and being I work in The Anywhere Office I find I can often avoid unnecessary travel by wielding my mobile work technology to work from anywhere. However now and again an opportunity arises that I just can’t pass up.  Last week I was invited to be a panelist on a <a href="http://www.businessweek.com/">Bloomberg Businessweek</a> Live Video Webcast all about video conferencing.</p>
<p>It was a great opportunity that I didn’t want to miss – so despite the fact that it meant flying out of town on my birthday – I went to the West Palm Beach Airport here in sunny Florida and flew to New York City.</p>
<p>The webcast was lots of fun and I got to spend some time with my good friend Marc and visit with his family as well – a splendid time was had by all!  I got to the airport very early because I hitched a ride in with my wife <em>(who works close to the airport)</em> and it got me thinking about being productive in an airport and why I love flying out of PBI.  Here is a short video I shot talking about working from an airport with The Anywhere Office:</p>
