I met Karl late last year we instantly hit if off.  As we talked further he told me he wanted to embrace a virtual business model for Smart Company Growth. Shortly afterward I started working with Karl to help him refine his business model and choose the best strategies and tools that would allow him the flexibility to work from anywhere, keep his costs low, and work with clients from all over the world without the expenses and headaches of all that travel.

One of the things we discussed was how to use Skype for video conferencing and remote interviews as Karl wanted to include a series of these interviews with noted authorities on his blog. So after getting the technology in place he figured what better way to kick them off than by interviewing me about the strategies and technology that help entrepreneurs, small businesses, and solo professionals to work virtually.

As Jason and I often say it’s about “the right tools thoughtfully applied”. Yesterday I came across a great blog post by Isaac Gube (@IAMTHEGUBE) about the tools and strategies he and his brother put into place when they launched their latest venture DesignInstruct.com – a regularly updated web magazine for designers and digital artists where you can find and learn design tips and tricks. The Brothers Gube clearly share the same philosophy as the Brothers Montero:

Design Instruct is our first real venture together. It is the first time my brother and I sought to actually build something of our own (unless of course you count all the make-believe forts we built when we were kids).

There are many challenges associated with working with someone over a long distance. However, we found that there are solutions to those challenges, and so far, we’ve managed to make it work.

I love the way the post breaks down the 5 main challenges they had and describes the solutions they came up with.  When technology was needed they used free or low cost tools that can be embraced by any small business owner, solo professional, or entrepreneur.

The important thing is they did their own workflow analysis, tooks a step back, and developed a structure and approach that worked for them. The spirit and philosophy they brought to this approach echoes my own:

Working on the Internet over a long distance is definitely different than working together in the same physical location. But being different doesn’t mean that it’s a worse way to work.

Of course, it’s a different way to work, but it’s also a very effective way to work once you acknowledge the challenges and are willing to adapt.

Just think, a few years ago, working from such great distances would have been quite an ordeal, and today it is done with such great ease and effectiveness.

Mobile Web Will Rule by 2015

Here are a few highlights:

• Video accounts for 69% of mobile data traffic.
• Facebook is the single largest repository for user-generated content such as pics, videos, links and comments.
• Apple and Android platforms are gaining in the mobile OS market, while Windows Mobile, RIM and Palm decline.
• If Skype were a telecommunications carrier, it would be the largest carrier in the world, with 521 million registered users.
• The average iPhone user only spends 45% of his on-device time making voice calls.

Are you using instant messaging?
Instant messaging is a fantastic tool and should be utilized by many businesses to allow for greater communication between their resources. It fits a need that isn’t completely served by email or phone communication.

In this post he gives some excellent examples of how companies are using IM – even some using it to communicate between different floors of the same building. My wife and I use to work down the hall from each other in our old apartment and we used it rather than yelling down the hall.

I use it all the time with Jason when we are collaborating on something or just have a quick questions.  It’s also a great way with co-workers or team members to share files and create a sense of “presence” being that you can “see” each other online even though you are not in the same place.

For many knowledge workers IM has become a mission critical business tool, like the phone or email, for keeping in touch with team members and coworkers. However for many it is yet another digital source of interruptions that eats away at productivity when working in your virtual office.

Although it is often speculated that IM leads to increased interruptions and decreased productivity – A recent study by researchers at Ohio State University and University of California, Irvine found that workers who used instant messaging on the job reported less interruption than colleagues who did not.

” . . .research showed that instant messaging was often used as a substitute for other, more disruptive forms of communication such as the telephone, e-mail, and face-to-face conversations. Using instant messaging led to more conversations on the computer, but the conversations were briefer.”

Another recent study found that IM is often a better tool for brainstorming than email.

My opinion is that, like any tool, it really depends on how you use it. This is one of the reasons I recommend that virtual teams setup up Communication Guidelines that discuss how they will use various forms of communication and take some time to communicate about how they are going to communicate. While that experssion often gets a chuckle when I mention it to people or managers in our workshops – it is remarkable how few teams actual take this important step to ensure everyone is on the same page.

I will be the first to admit that while I consider IM an essential communication tool (I use a combination of Yahoo Messenger and Skype for video conferencing) it can easily interrupt my workflow and focus if I don’t manage it wisely.

I was delighted to find some good tips in a post today on Web Worker Daily (one of the few blogs I follow on my iGoogle homepage) on how to use IM without ruining your productivty.

I look forward to adopting some of these tips, along with checking my email less frequently, in an effort to improve my focus and work more effectively.
