<p>This mobility and anywhere access has caused the lines to blur between our work and personal lives.  For most entrepreneurs and small business owners, the two are forever intermingled. If done right, mobile work should be empowering: providing you more  freedom and flexibility than you ever imagined as you easily manage the shifting flow of tasks, responsibilities, and communication that are part of your daily life.</p>
<p>But it&#8217;s easy to let the  technology, and our work, start to take over and demand more and more of our time.</p>
<p>I discovered that in today&#8217;s eBusiness world, pure &#8220;work/life balance&#8221; doesn&#8217;t seem to work (at least not for me).  What seems a better, more dynamic, fit is a zen-like approach which aims for &#8220;work/life integration&#8221; instead. This quote called &#8220;<a title="Master the Art of Living" href="http://www.theanywhereoffice.com/work-life-balance/master-the-art-of-living.htm" target="_blank">Master the Art of Living</a>&#8221; sums it up.</p>
<p>So how do you do it?  How do you handle the demands of today&#8217;s fast paced, 24/7 business environment, along with all of the commitments and enterprises in your personal and family life?</p>
<p>Here are my top 5 tips for a zen approach to mobile work. They will help you achieve &#8220;work/life integration,&#8221; and ensure that technology is your tool and not your master.</p>
<p><strong>Know how your technology works. </strong>Turn off audible or visible notifications so they don&#8217;t provide unnecessary interruptions when you are not working or need single-minded focus on a particular project or task.</p>
<p><strong>Setup clear communication guidelines.</strong> Make sure everyone knows what is expected of them with regard to accessibility. These include prioritizing communication channels and determining expected turnaround times for different modes of communication (ie. 3 hours for emails, 1 hour for voice mail).</p>
<p><strong>Centralize email and social media messages. </strong>Find ways to filter these messages into as few programs as possible so you can easily and quickly check and reply to them without feeling overwhelmed by too many systems.</p>
<p><strong>Consolidate Technology.</strong> Find one tool that can serve multiple purposes. Smartphones and tablets can take the place of many devices such as point and shoot cameras, video cameras, laptops, voice recorders, and more.  Finding ways to consolidate several tools, and information, into one device lets you travel lighter and stop wasting time switching between multiple platforms or programs.</p>
<p><strong>Unplug and Turn off.</strong> Just because you can work from any place at any time doesn&#8217;t mean you should.  These tools have an off switch &#8211; use it! Give projects their proper focus and attention. And don&#8217;t be so distracted that you fail to stay present with family and friends.</p>
<p>Following these simple steps will help you navigate the flow of digital information in your life.</p>

			<content:encoded><![CDATA[<p>In my blog post yesterday I showed you <a title="How to sync your iPhone, iPad, or iPod Touch with Gmail, Google Calendar, and Contacts" href="http://www.theanywhereoffice.com/digital-lifestyle/sync-iphone-ipad-ipodtouch-with-gmail-google-calendar-contacts.htm">how to configure Google Sync to keep your Gmail, Google Calendar, and Contacts in sync with your iPhone, iPad, or iPod Touch</a>.  Those steps work great if you use your Gmail address as your primary email address but they won&#8217;t let you send mail from your own domain.</p>
<p>I have several different email addresses with different domains names all forwarding mail to Gmail and thanks to it&#8217;s flexibility I was able to configure Gmail so that I can send or reply from any of them (with one being the default address for new messages).  For example even though I use Gmail as my email program I rarely use my Gmail address &#8211; instead my FROM address is phil@theanywhereoffice.com.</p>
<p>Although Gmail handles this perfectly I was disappointed when first configured my iPod Touch a few years back using Google Sync that it ignored these settings and always sent mail from my Gmail address.  This was unacceptable to me as I wanted emails I sent to come from my business address and didn&#8217;t want to confuse my clients, customers, and colleagues.  I hunted and searched and tested and finally found out how to get this to work. You can still use the steps I shared in yesterday&#8217;s post/video to sync your Google Calendars and contacts with your iPhone but you need to turn off the mail option there and follow some special (and somewhat convoluted) steps to get the mail to sync with Gmail AND send from your own domain.</p>
<p>No worries &#8211; I&#8217;m here to help.  I recorded 2 videos for you below walking you step-by-step through the entire process. The first step would be to have mail from your other domain forward to your Gmail account. I assume you&#8217;re probably already doing this but if not you&#8217;ll need to go into your current email settings for your domain and set it to forward your mail to your Gmail account. The steps for this will vary depending on how you currently get your email &#8211; most likely these settings can be controlled in the control panel of your web or email host.</p>
<p>The next step is to configure Gmail to send mail from your own domain rather than using your Gmail address.  Watch this video to learn how to do this:</p>

<p>The final step is the tricky part &#8211; how to get your iPhone, iPad, or iPod Touch to sync with Gmail and use your own domain.  <em><strong>Make sure to follow all the steps in the next video</strong></em> &#8211; there are a few gotcha&#8217;s <em>(like one part where you have to set it up with your Gmail address, back out, then go back in and <span id="more-1523"></span>change it)</em>.  It sounds silly &#8211; but you have to do this to make it work. If you follow all these steps in my video you will reach nirvanna and have your Gmail perfectly in sync on your iPhone and be able to send and reply to messages using your own domain. Thing of beauty!!</p>

<p>(NOTE: I know you can use <a title="Google Apps" href="http://www.google.com/apps/">Google Apps</a> to have all mail for your domain integrated with Gmail but for many small business and solo professionals you may prefer to not go through the steps of setting that up and simply use your regular Gmail account.  I actually used Google Apps and switched back to using my regular Gmail account.  I found it made it easier to use all the other Gmail services and often times new features were released to regular Gmail accounts long before Google Apps got them.  Not to mention the iGoogle pages for regular Gmail are MUCH better than those for Google Apps.  There are a lot more widgets available and if you use iGoogle as your startup page or a digital dashboard that definitely makes a difference!)</p>
<h2>UPDATED (7/28/11) &#8211; HOW TO USE MULTIPLE FROM ADDRESSES:</h2>
<p>Big thanks to Rafael who posted a comment below on how to configure your iPhone to support multiple FROM addresses (so if you have multiple email addresses you use you can have a choice which to use when sending).  Here is what you need to do to set that up:</p>
<ol>
<li>Goto imap account information</li>
<li>At the address box type all your outgoing emails with a comma separator for example Aaa@domain.com,bbb@domain.com,you@gmail.com</li>
</ol>
<p>This will add a from option when you create new email on the iPhone.</p>

			<content:encoded><![CDATA[<p>If you have an iPhone, iPad or iPod Touch and you use Google&#8217;s services (Gmail, Calendar, and Contacts) the video below will walk you step-by-step through the best way to sync all your data seamlessly with your Apple Device. Although these devices have a built in Gmail option it has some major limitations &#8211; specifically it doesn&#8217;t offer the ability to sync contacts over the air and limits you to one primary calendar.</p>
<p>I have tried several different ways and found  Google Sync (which acts like a Microsoft Exchange connector) works great.  I used it for years on my iPod Touch and now that I&#8217;m the proud owner of a new Verizon iPhone 4 (I am stoked) I used this same method to keep my iPhone and Google services perfectly in sync. One of the great features is that it lets you sync multiple Google Calendars (up to 25). That means when you create a new appointment in the calendar on your iPhone you can add it to any of the Google calendars you have access to (your own or any shared calendars).</p>

<p>Note that Google Sync is only supported on iOS versions 3.0 and above. You can check your current version by going to <strong>Settings</strong> &gt; <strong>General</strong> &gt; <strong>About</strong> &gt; <strong>Version</strong>. If your business, school, or organization uses <em><strong>Google Apps</strong></em>, your administrator will first need to <a href="http://www.google.com/support/a/bin/answer.py?answer=135937">enable Google Sync</a> before you can take advantage of this feature.</p>
<p>If you prefer written instructions Google provides them <a title="Instructions for configuring Google Sync for your iPhone, iPad, or iPod Touch" href="http://www.google.com/support/mobile/bin/answer.py?hl=en&amp;answer=138740">here</a> but I figured it would be easier to follow along as you watch the steps in this video.</p>
<p>These steps work great if you are using your Gmail address as your primary email address.  If you prefer to send mail from your Gmail account (and your iPhone, iPad, or iPod Touch) using your own domain (ie I send email from @theanywhereoffice.com) then you will want to check out <a href="http://www.theanywhereoffice.com/digital-lifestyle/how-to-send-mail-from-your-own-domain-using-gmail-and-iphone.htm">my next article and video where I&#8217;ll walk you through how to change the mail setup</a>.  <em>It&#8217;s tricky but I found a way to get it to work so stay tuned!</em></p>

			<content:encoded><![CDATA[<p>I&#8217;m really loving the growth of social media &#8211; especially the way it can serve as a watercooler and networking environment for those that work in The Anywhere Office.  One of the downsides of being virtual is losing the connections and social element of working in an office.</p>
<p>I have found Twitter to be a great way to connect with people and in many ways it&#8217;s even more powerful than the traditional water cooler as I have connected with people from all over the globe!</p>
<p>Being a work at home dad, entrepreneur, and small business owner it&#8217;s hard to find the time in my schedule to get out to networking events. This is another area where social media has really been amazing &#8211; I&#8217;m able to take a more asynchronous approach to finding and starting conversations with other liked minded people I meet.  I think the key, however, is to then take those conversations to the next step and schedule a real-time phone call, Skype chat, or in person meeting when possible.</p>
<p>Still haven&#8217;t taken the social media plunge?  I came across a recent article that helps you get up to speed on the big three:</p>

			<content:encoded><![CDATA[<p>It&#8217;s clear that video is booming on the web.  Video sharing sites like YouTube and portable camcorders like the Flip have exploded.  Also, as I&#8217;ve discussed in <a title="Toxbox and Video Conferencing" href="http://www.theanywhereoffice.com/digital-lifestyle/tokbox-a-great-free-tool-for-video-conferencing-and-video-email.htm">previous blog articles</a> and in the recent <a href="http://www.theanywhereoffice.com/mobile-work/video-conferencing-breaks-out-of-the-boardroom-watch-on-demand.htm">Businessweek Video Webcast</a> - video conferencing is growing in leaps and bounds.</p>
<p>I&#8217;ve seen significant growth in the desktop video conferencing space with services like <a href="http://www.skype.com">Skype</a>, <a href="http://www.tokbox.com">Tokbox</a>, and <a href="http://www.oovoo.com">ooVoo</a> being used for everything from virtual meetings and remote collaboration to friends and family keeping in touch.   Thanks to the increase in broadband and wi-fi people can meet face-to-face virtually from almost anywhere.</p>
<p>Well now it looks like video chat/conferencing is about to get even more mobile.   Last week Apple released the<a title="Apple iPhone 4" href="http://www.apple.com/iphone/"> iPhone 4</a> which includes a forward facing camera and a built in program called FaceTime that allows video chatting from iPhone to iPhone.  Also Sprint released the <a title="HTC EVO 4G" href="http://now.sprint.com/firsts/evo4g/">EVO 4G</a> which also includes a front-facing camera and the QIK video chat software. It seems like the natural next step . . .</p>
<blockquote><p>There is no mistaking that the time is ripe to get into the mobile video chatting game. It is already big enough with tools from Skype, Google (Talk) and others, and it’s only going to get bigger. There are already millions of notebook owners in the mix, and when you add what is likely going to be millions of smartphone and tablet owners, the potential market for video chat offerings is going to be huge.</p>

<p>I&#8217;m sure these two phones are only the start of this trend.  In fact you can be sure that once Apple starts to push this envelope others will be soon to follow &#8211; much the way that the iPhone invigorated the smartphone market and the iPad has woken up the sleeping tablet market.  I&#8217;m still shocked that the iPad didn&#8217;t include a camera on it for video chats &#8211; but I&#8217;m almost certain the next generation will include that feature.  In fact it&#8217;s<span id="more-1329"></span> one of the main reasons I didn&#8217;t run out and buy one &#8211; I&#8217;ll wait for the second generation so I can tap into the video.</p>
<p>The stats seems to back up this prediction in a recent report, entitled “<a href="http://pro.gigaom.com/2010/06/report-consumer-video-chat-ecosystem-forecast?utm_source=newteevee&amp;utm_medium=editorial&amp;utm_content=ryangigaom&amp;utm_campaign=crosspost">Can You See Me Now?: The New World of Consumer Visual Communications</a>,”  by <a href="http://pro.gigaom.com/">GigaOM Pro</a>. (subscription required):</p>

<blockquote><p>. . . forecasts that consumers will make 29.6 billion video calls in 2015, up from just 3.2 billion this year. During that time, most video calls will be made over PCs, but by 2015, the number of video calls made over the computer will level out as consumers take advantage of video chat services available on mobile devices and Internet-connected TVs.</p>
<p>The report forecasts that the number of consumers using mobile video chat services will increase from about 3 million in 2010 to 143 million in 2015.</p>

<p>One of the key drivers will be the ability to conduct video chats from a mobile handset to a laptop or desktop.  It is my understanding the current technology pretty much works from handset to handset (ie iPhone to iPhone).  While that is useful, I would want to know that if I was traveling I could use my smartphone to video conference with a coworker or colleague at their desk or have a video chat with my child or wife who were home at the computer.</p>
<p>There is also the issue of mobile bandwidth.  With AT&amp;T and other mobile carriers following suit and switching from &#8220;unlimited&#8221; data plans to tiered pricing the cost of mobile video chats, when not using wi-fi, might delay adoption.</p>

			<content:encoded><![CDATA[<p>Although many people feel remote collaboration is all about technology &#8211; the truth is virtual team work is a <em>human endeavor</em> &#8211; it&#8217;s about people working with people. Sure the tech is important as it enables people to work together while apart &#8211; but the <em>strategy </em>behind which tools you choose and how you use them is easily just as critical.</p>
<p>As Jason and I often say it&#8217;s about <em>&#8220;the right tools thoughtfully applied&#8221;</em>. Yesterday I came across a great blog post by Isaac Gube (<span style="font-family: Verdana, Arial, Helvetica, sans-serif; line-height: 20px; font-size: 12px; color: #333333;"><a href="http://twitter.com/IAMTHEGUBE">@IAMTHEGUBE</a></span>) about the tools and strategies he and his brother put into place when they launched their latest venture <a href="http://www.DesignInstruct.com">DesignInstruct.com</a> &#8211; a regularly updated web magazine for designers and digital artists where you can find and learn design tips and tricks. The Brothers Gube clearly share the same philosophy as the Brothers Montero:</p>
<blockquote><p>Design Instruct is our first real venture together. It is the first time my brother and I sought to actually build something of our own (unless of course you count all the make-believe forts we built when we were kids).</p>
<p>There are many challenges associated with working with someone over a long distance. However, we found that there are solutions to those challenges, and so far, we’ve managed to make it work.</p>

<p>I love the way the post breaks down the 5 main challenges they had and describes the solutions they came up with.  When technology was needed they used free or low cost tools that can be embraced by any small business owner, solo professional, or entrepreneur.<span id="more-1332"></span></p>
<p>The important thing is they did their own <a title="ICC Workflow Analysis Video" href="http://www.theanywhereoffice.com/podcast/choosing-the-right-technology-for-your-virtual-team-or-virtual-office.htm">workflow analysis</a>, tooks a step back, and developed a structure and approach that worked for them. The spirit and philosophy they brought to this approach echoes my own:</p>
<blockquote><p>Working on the Internet over a long distance is definitely different than working together in the same physical location. But being different doesn’t mean that it’s a worse way to work.</p>
<p>Of course, it’s a different way to work, but it’s also a very effective way to work once you acknowledge the challenges and are willing to adapt.</p>
<p>Just think, a few years ago, working from such great distances would have been quite an ordeal, and today it is done with such great ease and effectiveness.</p></blockquote>

			<content:encoded><![CDATA[<p>Video conferencing has changed.  What was once a very costly technology only used by large enterprise type organizations with dedicated IT departments is now easier to use and more cost effective. There are a variety of solutions to fit almost any budget.</p>
<p>This was the topic of discussion a few weeks ago when I joined <a href="http://www.businessweek.com/">Bloomberg Businessweek</a> in their New York Studios for a live Video Webcast called <em>“Video Breaks Out of the Boardroom”</em>.  The show was hosted by Jim Ellis, Assistant Managing Editor of Bloomberg Businessweek, and I was delighted that they invited me to join Marc  Beattie from <a title="Wainhouse Research" href="http://www.wainhouse.com/">Wainhouse Research</a> to be part of this episode.  Here is a photo from our broadcast:</p>

<p>The Bloomberg building was amazing and everyone I met there was extremely friendly and helpful.  We had a wonderful discussion and looked at what’s involved with implementing video conferencing including how much technical know-how it takes, how and why companies using it, what it costs, and what are some of the stumbling blocks. We also took some great questions from those that were viewing the live broadcast.</p>
